Post-webinar

The replay follow-up: emails and texts sent to a webinar's registrants while the replay is available.

Why it exists

Many registrants miss the live session, and the replay is the second chance to reach them. A short window with "time is running out" messages gives people a reason to watch now.

How it works

  1. About 90 minutes after the webinar starts, the system looks for the recording, attaches it and publishes the replay.
  2. The replay stays up for 48 hours by default. Change that and the stage timing under Timing.
  3. Write the email and text for each stage: Replay is ready, 24 hours left, 2 hours left. Each stage's text can be switched off.
  4. Add custom steps after the replay is published, for example one for attendees and one for people who did not attend.

Works with

  • Pre-webinar: the reminders before this, up to the live webinar
  • Booking & community: the buttons on the replay page these messages link to
  • Events: check the replay email, page and clicks per event

Common questions

Who receives the replay messages?

By default everyone who registered for that webinar. Custom steps can target only people who attended or only people who did not.

Do buyers keep getting replay messages?

New custom steps here skip buyers unless you switch that off. The three built-in stages go to everyone.

If I change the timing, does a replay already up change?

No. New timing applies only to replays published after you save.

What if a replay text lands at night?

Texts wait for quiet hours (9 PM to 8 AM in the person's time zone). A built-in replay text held that way goes out the next morning, as long as its stage is still current; once the next stage is due, the older text is dropped. Custom steps here are dropped 3 hours after their time, so time them in the day. Schedule copy on the Events page lists any that now fall at night.
